It has a cover letter outlining the benefits of attendance, a compact conference fact sheet detailing conference rates, hotel rates, etc., a brief overview of conference programming and two letters of support. Cancellation/Rescheduling Policy
Because of the size and complexity of the convention, OkMEA does not normally cancel or reschedule events due to weather conditions. However, in cases of extreme weather, natural disasters, public safety emergencies, or other circumstances beyond OkMEA’s control, the Association reserves the right to adjust schedules, modify events, or make other necessary changes for the safety of participants and attendees.
OkMEA All-State Ensembles, Honor Groups, conference sessions, and other scheduled events are expected to take place as listed in the convention schedule, subject to schedule adjustments approved by the OkMEA Board.
Students participating in OkMEA All-State Ensembles are expected to arrive on time and participate in all scheduled rehearsals, auditions, and performances unless otherwise notified by OkMEA leadership. Travel difficulties or local weather conditions should not be assumed to excuse absence or tardiness unless specifically communicated by OkMEA.
Because convention expenses and contractual obligations are incurred in advance, registration fees, audition fees, convention fees, and other participation costs are non-refundable, including in cases of weather-related travel disruptions, schedule adjustments, or circumstances beyond OkMEA’s control.
Questions regarding weather-related procedures or schedule adjustments should be directed to the OkMEA Executive Director.
