Important OkMEA 2019 Conference Information
We have some important news to share with you regarding the 2019 OkMEA Winter Conference. The Hyatt Regency will not be open during the conference. Their structure has significant smoke damage after an escalator fire in November. They assured us it would be open in time. Unfortunately, the repairs will not be complete in time for the conference. We have been diligently working on a solution to this problem for you.
First, if you are staying at the DoubleTree, Marriott Courtyard, or Fairfield, your reservations will not be affected. There is no need for you to take further action at this time.
If you have booked at the Hyatt Regency, there are three options for you:
If you reside in the Tulsa area or want to stay with someone in the Tulsa area, you and your students may choose to remain at home and drive to one of the festival hotels to catch the shuttle or drive downtown. It is our recommendation that you drive to a festival hotel rather than battle parking downtown. This exception was approved by the OkMEA Executive Board.
You may choose to rebook your reservation at one of the two new All-State hotel that will have shuttle service to the All-State rehearsal venues. These hotels will honor the conference rate of $114 per night.
Finally, you may choose to rebook at the hotel of your choosing but will not receive the conference rate nor will you have shuttle service provided to the rehearsal venues.
Marriott - Southern Hills
1902 E 71st Street
Tulsa, OK 74136
Rate – $114 per night
The All-State rehearsal venues for the Wind Symphony and Treble Chorus are changing to the Tulsa Performing Arts Center. All of the All-State rehearsals will begin at 9:00am and shuttles will begin running at 7:00am. We will be adjusting rehearsal and shuttle schedules over the next few days. Once the updates are complete, we will send another email with the new information.
Please check in with the other directors in your district as well as friends who have students in the All-State organizations to ensure everyone receives this message in a timely manner.
If you have further questions regarding these changes, please do not hesitate to contact Jerry Huffer (firstname.lastname@example.org) or Katie Robertson (email@example.com). We will do everything in our power to make this transition as seamless as possible. We appreciate your flexibility and understanding during this difficult time.
We look forward to seeing you all in January at the 2019 Winter Conference! Enjoy the holidays with family and friends!
